Executive Assistant, SG at Carousell

Carousell is one of the world’s largest and fastest growing mobile classifieds apps. Since our launch in May 2012, we’ve expanded into 19 major cities with over 144 million listings. As a team of passionate individuals working together to solve meaningful problems, we want to build products that make selling as easy as taking a photo, and buying as simple as chatting to inspire every person in the world to start selling.

We’re looking for an Executive Assistant to support the CEO in rapidly growing Carousell into a global classifieds leader. In supporting the CEO, this role works closely together with and reports to the Chief of Staff. If you’re an effective communicator, meticulous, organised, care deeply about helping others, and can read verbal and non-verbal cues (and minds), read on!

 

You will:

  • Co-own the calendar of the CEO in arranging, for example:
    ->Externally-held or internally-hosted meetings with teammates, partners and other stakeholders
    ->Participation at conferences and events, including working with internal partners such as the Communications team to craft Talking Points, and the in-market country teams to identify stakeholders to cultivate relationships with

 

  • Provide counsel to the CEO on, for example:
    ->Alternative arrangements for conflicting appointments  
    ->Possible team member representation at double-booked platforms
    ->Day-to-day prioritisation

 

  • Recommend sound travel arrangements that would maximise the intent of overseas trips, while ensuring that the CEO has balanced itineraries, including the shortlisting and booking of:
    ->Flights (and the occasional unavoidable rebookings)
    ->Accommodation
    ->Ground transportation and airport transfers
    ->Advice on Visa applications, and other helpful administrative, business or cultural information

 

  • Support Staff Management Team, where needed, including to:
    ->Assist with confidential personnel matters and tasks. For example, to:
    Arrange 1-1 or appraisal meetings
    Assist in the process of recruiting and onboarding Staff Team’s direct report or managing out employees
    Provide pulse on team sentiments and feedback
    ->Support:
    Expense claims and other financial processes
    Other office or IT equipment matters
    Project management needs or any cross-cutting coordination efforts

 

You have:

  • 6-10 years experience in office administration and/or Executive Assistant capacities
  • Highly flexible thinker and doer
  • Comfortable managing multiple priorities  
  • Efficient and get things done attitude
  • Strong discipline and well-organised
  • Excellent communication skills
  • Experience working with multi-country organisations and a culturally-diverse team
  • Proficient in Google suite
  • Experience working in startup-like environments is a plus
